Who we are
Willbench is provided by OK Software Holdings Limited, a company registered in England and Wales under company number 13775431, whose registered office is 23 Luxus House, Forge Lane, Moorlands Trading Estate, Saltash, Cornwall, PL12 6LX. You can contact us about privacy at support@willbench.com.
Our two roles
When we are the controller. We decide how to use the personal data of people who visit our website, join the waiting list, contact us, or hold a Willbench account, such as advisers and firm administrators. This policy covers that data.
When we are a processor. Firms that use Willbench enter details of their own clients, such as names, addresses, family details and wishes. For that data the firm is the controller and we process it only on the firm's instructions, under our terms of service. If you are a client of a firm that uses Willbench, please contact the firm about your data.
What we collect
- Account details: name, work email address, firm name and role.
- Billing details: billing name, address and VAT number. Card payments are handled by Stripe; we do not see or store full card numbers.
- Waiting list and enquiries: name, email address, firm name and what you tell us.
- Technical data: IP address, browser type and sign-in records, used to keep the service secure.

How we use it and why

We do not sell personal data and we do not use it for advertising.
Who we share it with
We use a small number of service providers to run Willbench, under contracts that require them to protect the data:
- Hosting and backups: our application servers and database are in a data centre in London. Encrypted backups are stored with Amazon Web Services in its London region.
- Email delivery: a transactional email provider sends service emails such as sign-in links.
- Payments: Stripe processes subscription payments. Stripe may process data outside the UK under appropriate safeguards; see Stripe's own privacy policy.
We may also share data where the law requires it, or with professional advisers such as our accountants.
Where your data is stored
Firms' client data is stored on servers in the United Kingdom. Where a provider processes account or billing data outside the UK, we make sure appropriate safeguards are in place, such as the UK International Data Transfer Agreement or an adequacy decision.
How long we keep it
- Account data: while the account is open, then up to 90 days after it closes.
- Billing records: six years, as required for tax purposes.
- Waiting list and enquiries: until you ask us to remove you, or two years after our last contact.
- Security logs: up to 12 months.
Your rights
You can ask us to give you a copy of your personal data, correct it, delete it, restrict or object to how we use it, or transfer it to another provider. Where we rely on consent, you can withdraw it at any time. Email support@willbench.com and we will respond within one month.
If you are unhappy with how we have handled your data, please tell us first. You also have the right to complain to the Information Commissioner's Office at ico.org.uk.
